🛡️ Managing financial gaps
Record the difference and keep it visible until resolved
A financial gap is a difference or incomplete balance that needs explaining. We record it when we know a real difference exists but lack the document or entry to explain it yet.
When to use it
Migrating from an old system, reviewing opening balances, bank/cash matching, or an unclassified amount. Never to hide a difference.
How we work on it
Record it
Amount, currency, date, context, sources and counter account.
Represent it
Its own gap account and balanced entry, visible in the trial balance.
Track it
Open → in progress with notes, owner and age-based escalation.
Correct or waive
Documented reversal or waiver with reason and attachment; never deleted.
Approve closure
Closing/waiver/reversal needs a higher role than creation (four eyes).
